Folders

Creating, renaming, deleting — and moving assets between folders. Folders are flat.

Folders are the library’s only filing structure. They sit in the sidebar as sub-entries, and additionally as tiles above the asset grid whenever no folder view is selected.

The signed-in product speaks German, so its labels and messages are quoted in German below, with the English rendering in italics.

Folders are flat

There are no subfolders. A folder holds assets, never further folders. A folder therefore cannot be moved into another one either.

An asset sits in exactly one folder, or in none. There is no multi-filing, no references and no copies. Whatever sits in no folder appears under „Unsortiert“ (Unfiled).

Creating, renaming, deleting

All three are open to every member. Creating happens from the sidebar; renaming and deleting from the folder’s menu, in the sidebar as well as on the tile.

Two rules apply to the name:

  • 1 to 100 characters. An empty name is refused with „Bitte einen Ordnernamen eingeben.“ (Please enter a folder name.), one too long with „Der Ordnername darf höchstens 100 Zeichen lang sein.“ (The folder name may be at most 100 characters long.)
  • Unique within the workspace, regardless of case. Campaign and campaign are the same name; the second attempt ends with „Ein Ordner mit diesem Namen existiert bereits.“ (A folder with this name already exists.)

Deleting a folder deletes no assets. They lose their location and appear under „Unsortiert“ afterwards.

Creating, renaming and deleting are recorded in the workspace’s audit trail.

Moving assets

For a single asset: the menu on its tile. For several: select the tiles, then choose the destination in the selection bar — every folder is listed there, and „Unsortiert“ is as valid a destination as any other.

At most 100 assets per operation, otherwise „Maximal 100 Assets pro Verschiebung.“ (At most 100 assets per move.) appears, or „Maximal 100 Assets pro Aktion.“ (At most 100 assets per action.) when deleting.

Two things about the selection:

  • Only loaded tiles can be selected. If you need something further down, scroll it into view first.
  • Changing a filter clears the selection.

Deleted assets cannot be moved. Restore first, then file.

What the number beside a folder counts

Next to every folder stands the number of assets in it. Only live assets are counted — whatever sits in the trash does not count, even though restoring it returns it to exactly that folder.

The folders themselves are sorted by name, not by creation date; the asset grid below always shows the newest first.
