Booked versus occupied — and what happens when no seat is free.
Seats have two numbers: booked and occupied.
Occupied means the active memberships. Deactivated members do not count, and open invitations do not either — a seat is occupied only when somebody actually joins.
The ceiling is the booked number. What your plan includes in the base price is a different number; more can be booked.
The signed-in product speaks German, so its labels are quoted in German throughout, with the English rendering in italics.
When a seat becomes occupied
Three paths occupy a seat:
- Accepting an invitation
- Reactivating a deactivated member
- Admission through the identity provider
Deactivating, removing and role changes change nothing about the seats.
An invitation can also only be created while a seat is free.
When no seat is free
Then there is no invite form, but a notice block. It has two versions:
- More than one active member: „Alle gebuchten Sitzplätze sind belegt.“ (All booked seats are taken.) — with both routes: deactivate somebody, or extend the allowance.
- Only you: „Der einzige gebuchte Sitzplatz ist belegt.“ (The only booked seat is taken.) — leaving „Für weitere Mitglieder ist ein Tarif mit mehr Sitzplätzen nötig.“ (More members require a plan with more seats.)
Deactivating another active member frees their seat.
If you invite anyway and the check refuses, a card appears at the form — with the figures and the way forward.
What the invited person sees
No numbers. They read: „Dieser Arbeitsbereich hat derzeit keinen freien Sitzplatz.“ (This workspace currently has no free seat.) and „Die Person, die die Einladung verschickt hat, kann das ändern.“ (The person who sent the invitation can change that.)

As owner or admin you do see the figures there: booked and occupied.
